Case · International legal advisory · Spain · international clients

An international legal firm running on an operating system of its own.

StudioKF Customer service, documents, contracts, signatures, filings, billing and operational intelligence — orchestrated on top of the WhatsApp, boards and documents the operation already used.

Real data under confidentiality

This operation's numbers belong to the client. What we publish is the method — and what it builds.

The challenge

From scattered processes to an observable operation

StudioKF handles legal and administrative processes for foreign clients in Spain. The operation involves high-volume service, intensive documentation, contracts and signatures, official filings with deadlines, international billing and a distributed team tracking hundreds of cases at the same time.

Each part worked — but in different places: messages in one channel, documents in folders, processes on boards, finance somewhere else. Up-to-date information depended on someone going to look for it.

  • Hundreds of simultaneous cases across multiple boards and flows
  • High document volume: receiving, generating, signing
  • Manual international billing and financial tracking
  • A distributed team relying on scattered information
The solution

An operational layer on top of what already existed

We built an orchestration layer that connects WhatsApp service, the process boards, the documents, the signatures and finance — with AI agents up front and automations executing the work across systems.

Every execution leaves a trail. That trail feeds the second deliverable: operational intelligence — reports and audits that show what the operation alone couldn't see.

  • AI agents serving clients in Brazil and Spain
  • Receiving, organizing and sending documents
  • Contracts and powers of attorney generated and digitally signed
  • Automatic data extraction from PDFs and official forms
  • Starting and moving filings across the operation's boards
  • Billing and reconciliation of international payments
Automated execution

The work the operation stopped doing by hand.

Documents

Received via WhatsApp, validated, organized by case and sent — no one dragging a file.

Contracts and signatures

Contracts and powers of attorney generated from case data, with digital signatures and automatic completion detection.

Official forms

Data extracted from PDFs and official filing forms filled in — the rework of retyping is out of the way.

Billing

Triggering charges, tracking installments and reconciling international payments.

Records and filings

Creating and updating records, moving cards and starting filings — the operation moves itself between stages.

Communication

Clients kept informed of progress on the channel they're already on: WhatsApp.

The flow in operation

Every execution leaves a trail.

Documents, contracts, signatures, records, filings and billing — the operation moves itself between stages, and every step is recorded. It's that trail that becomes intelligence.

Operational intelligence

The automation doesn't just execute. It reveals problems.

Data quality audit

Automated sweeps find records with an incorrect or missing phone number — profiles that would make active clients invisible to the agents. Automation doesn't just execute: it reveals problems.

Financial consolidation

The whole portfolio in a single view: paid, overdue, upcoming, arrears by bracket and amounts that slipped out of the main billing flow — what was off the radar comes back into view.

Operation distribution

The data answers management questions: who is overloaded, where cases concentrate, which ones have no owner and where the bottleneck will appear.

Learnings

What this operation taught us.

  1. 01

Automation doesn't just execute. It reveals problems that were invisible — from bad records to amounts off the radar.

  2. 02

An observable operation changes the management conversation: instead of 'how's case X?', the question becomes 'what does the data show?'.

  3. 03

Confidentiality and engineering go together: the numbers of this operation belong to the client — the method is what replicates.

The complexity of your operation isn't an obstacle. It's the material.

The more disconnected parts, the greater the gain from turning them into a system. Start with the diagnostic.
